BOARD OF LIBRARY TRUSTEES
REGULAR MONTHLY MEETING
TUESDAY, APRIL 14, 2009
TOWN HALL MEETING ROOM 2



Present:  David Burton, Carlo D’Este, John Kowalski, Heather Lakatos, Dianna Smith, Jane Dolan, Nancy Soderberg (arrived 6:50 p.m.), and Helene DeFoe, Library Director.


Chairman David Burton called the meeting to order at 6:35 p.m.


Approval of Minutes

Carlo D’Este motioned to accept the minutes of the Meeting of March 10, 2009 as written; John Kowalski seconded this motion; and the motion was approved, with Heather Lakatos, Dianna Smith, and Jane Dolan abstaining.

Reports

Helene DeFoe distributed copies of her monthly report for March, along with the March CLAMS circulation statistics report; and the listing of downloadable audio checkouts through 3/31/2009.  Janet Burke’s monthly report for March was also provided.  Copies of all these reports are attached to the printed set of these minutes.

The reports were reviewed and discussed.  Helene also informed the Trustees of the following updates:

·       Barbara Notarius announced that Stewart Lanier will come to Friends’ Board Meeting and talk about ways to achieve what we want to achieve with the Young Adult (YA) program.  Helene said that was part of this YA Grant.
·       Helene informed the Trustees that while she didn’t care for the library browsing unit shelves shown in photos, the unit was much more attractive when she saw it.  Helene liked the 4-shelf size.  In explaining the browsing unit, Helene said they look like towers and are display-type shelves.  Helene doesn’t know yet whether or not this is something we would add to the new library.
·       Helene and the group looked at some wooden chairs that looked attractive, but weight was massive.  In a subcommittee meeting they talked about having upholstered chairs for the comfort of library patrons.
·       Helene advised that they did go to visit the Northborough Library and the Charleton Library.  She said both buildings are about 27,000 square feet.  Northborough had a nice YA room that was warm and welcoming.
·       Helene explained that no decisions have been made on anything yet; they are looking at samples right now.  Furnishings they are looking at would be made for libraries and would be heavy duty, quality-type construction.
·       Helene said with the notice that the Friends of the Library are to move out of  South Cape Village space, patrons have been coming into the Library asking whether or not the Library was moving out.  Helene said the Library has posted a sign that we cannot accept book donations.
·       Nancy Soderberg asked with the Friends moving, will they still be able to sell the bricks for the new Library?  Helene responded “yes”, they will continue in the same manner that they’ve been doing it.  They place order forms in the library and various locations.

Friends of the Library

Jack Kowalski said that the Friends were most concerned with the South Cape Village situation and concluded that there were some things they had to do.  He said he thinks that it is very impressive that the Friends as a group unanimously agreed to gracefully move out of the South Cape Village space in the 30-day period stipulated in the letter asking them to vacate.  In view of the fact that they only have 30 days time to move, following decisions were made:

·       This Saturday the Friends will hold their regular book sale; and unless a new Friends location is found almost immediately their “blow-out eviction book sale” will be held on three successive dates—namely, April 30, May 1 and May 2.  
·       They will store the high-end publications for a book sale at the Artisan’s Fair event.
·       Friends are going to meet at Sovereign Bank … they’ve been given some space there to meet.
·       Storage space for some books has been given to the Friends at the storage shed and at Sun Storage.
·       Market Street Book Store in Mashpee Commons offered the Friends a book shelf in their store to display the Friends’ book sale items; and also to display Friends’ advertisements.

Library Project

Nancy Soderberg reported to the Trustees that she attended the March 31st Planning and Construction Committee meeting.  She provided the Trustees with the Project update summary distributed at that meeting by Rick Pomroy.  Nancy again said how impressed she is with Rick Pomroy’s project updates.  

On another note, Helene added that at one of the meetings she attended both Rick Pomroy and Stewart Roberts commented that working with Bufftree is a very positive experience and Bufftree is a great contractor to work with.

Book Security System…Jane Dolan asked what was the question raised with regard to the book security system.  Helene explained that the system with the new technology was going to cost more than the amount that the architect estimated for a generic system.  Stewart had given a range of $50,000 to $150,000 and the Project Manager used $50,000 as a placeholder in developing the budget.  After meeting with the vendor, they had more accurate pricing for Mashpee’s situation.  Helene explained the difference between the cheaper old technology and the cost for new technology.  She said the end result is the new technology gives you “more bang for the buck” because of collection management tools that are part of the new technology.  The Planning and Construction Committee had questions about the cost difference between the estimate and actual cost at their last meeting.  The Committee agreed to have the Subcommittee gather information on the cost of the newer system, including design and installation fees.
Filming of Construction Progress of New Library…Jack Kowalski said he contacted Arthur Joia, Media Arts Director at the High School, and Arthur was very enthusiastic about the idea and immediately said he wanted to do it.  He is going to have the students involved in the project. He is going to do interviews with Barbara Notarius and Helene and the High School shop would build a podium for the Library so that anyone who wanted to see the film could view from this podium.

Helene said that to access the site Mr. Joia would need to talk with Rick Pomroy to make arrangements.  Obviously this is necessary for safety concerns, etc.

Communications

Marstons Mills Library…David asked whether or not Marstons Mills Library is private.  Helene said all Barnstable libraries are private.  David informed the Trustees that he was asked by Marstons Mills Library to participate in moderating a symposium at that library about building a library.  David will participate in this symposium.

Heather Lakatos, Library Trustee

Heather Lakatos is not running for re-election as a Trustee.  David Burton said while the Board of Library Trustees certainly understands, nevertheless she will be sorely missed.  The Trustees thanked Heather for her years of exceptional service as a Trustee and for all the effort and time she and her husband devoted to so many of the fundraising activities—to name a few:  the annual Holiday Parade; the bricks and benches fundraiser; and the annual Walk-to-Read fundraising event.

Old Business

Jane Dolan reminded the Trustees of her suggestion for a time capsule being placed in the Library.  The Trustees again voiced that they are in favor of this idea.  Jane said she would like to see if she could get the schools to participate and maybe do something like developing some type of contest.  Jane will contact some resources and do some ground work and report back to the Trustees with some ideas to consider.

Dianna Smith motioned to adjourn the meeting; Nancy Soderberg seconded the motion; and the meeting adjourned at 8:10 p.m.
